In professional services, the product is hours. That one fact changes what your software has to do.

A firm can be busy and unprofitable at the same time, and usually finds out about it two months later when someone reconciles the invoices. The gap between work done and work billed is where margin disappears, and no amount of enthusiasm closes it.

Pitch: turning a conversation into a signed scope

The pitch stage in a small firm is usually one person writing a proposal in a document, copying the pricing from the last one, and forgetting to update the client name in paragraph four.

Harvest is the billing side of the same coin. Time and expenses in, invoices and reports out, with the rate structure that makes an hour worth different amounts depending on who spent it. Its most useful screen is the one comparing budgeted hours to actual hours while the engagement is still running, which is the only point at which that number is still actionable.

What to watch: the two tools overlap on time tracking, and you should decide which one is authoritative before you roll either out. Running both without deciding produces two sets of hours that disagree, which is worse than either alone.

Bill: getting paid without the awkward email
